How to Round Work Hours on a Timesheet

Timesheet rounding changes recorded time to a specified increment, such as a quarter hour. The allowed method and its effect can be governed by local law, workplace policy, or payroll rules, so do not assume one rounding rule is valid everywhere.

Keep exact times first

Record the actual clock-in and clock-out values, then apply any required rounding method separately. Keeping the original times makes it easier to review a calculation or correct a mistake.

Avoid manually rounding each value without documenting the method.

Understand increments

A 15-minute increment corresponds to quarter-hour values: 0, 15, 30, and 45 minutes within an hour. But the method used to assign times to those increments matters; do not infer a rule from the increment alone.

Different systems may round start and end punches separately or calculate elapsed time first. Those methods can produce different results.

Check fairness and compliance

Rounding practices may be restricted or require neutral application in some jurisdictions. Review current local requirements and employer policy before using rounded times for payroll.

A generic guide cannot determine whether a specific rounding practice is lawful in your location.

Why rounding changes totals

A recorded duration of 7 hours and 58 minutes equals about 7.97 decimal hours when rounded to two decimal places. Rounding each shift separately can produce a slightly different total from adding exact minutes first and rounding only once. Follow the timesheet system’s stated method and applicable workplace rules.
